How do I Create Message Templates?

Templates save the messages you send often, with placeholders for the parts that change, such as a name or an amount.

Create a Template

  1. Open Templates

    • Click Templates in the left sidebar.
  2. Start a New Template

    • Click Create Template. You can also click Create New Template on any compose screen.
  3. Name It

    • Enter a Template Name of 3 to 64 characters. You'll pick the template by this name when composing.
  4. Write the Content

    • Type the message in Template Content (12 to 918 characters), with placeholders in square brackets.
  5. Describe It (Optional)

    • Add a description of 7 to 1,000 characters explaining what the template is for.
  6. Save

    • Click Save Template. DartPro shows Done and confirms the template was created.

Writing Placeholders

  • Use square brackets: Dear [customer_name], please be informed that...
  • No spaces inside: use underscores, as in [customer_name], not [customer name].
  • Choose clear names that your team understands.
  • Add as many as you need.

How Placeholders Are Filled

Sent fromPlaceholders are replaced with
From TemplateThe values you type under Template Variables
To GroupsEach contact's details, such as [first_name] or [organization]
To File ContactsThe file's column with the same name, such as [amount]

For the contact placeholders you can use with groups, see Personalize with Contact Details.

Manage Your Templates

  • Find a template: type in Filter Templates.
  • View a template: click it to see its content, description and Template ID.
  • Edit a template: click Edit Template in the list, or Edit on the template's page. Save your changes to update it.
  • Delete templates: select them in the list and delete them. Confirm when asked Are you sure you want to delete the selected Templates?

⚠️ Scheduled messages use the latest template

Scheduled messages read the template when they're sent, so edits you make before then are included. Don't delete a template that a scheduled message still uses.
